*COORDINATOR FOR INBOUND EXCHANGE STUDENTS (OS-06)*

Office of International Relations





*Summary:*

Under the supervision of the Director and the Operations Coordinator, the
Coordinator for Inbound Exchange Student position, with the exception of
visa application, attends to the requirements of all university inbound
exchange students according to University guidelines and protocol.



*Job Description:*

1.       Communicates and coordinates the call for application for the
inbound exchange program every school year to all partner universities and
prospective inbound students and disseminate information as required --
included but not limited to basic information about the university
including university application procedures and regulations, course
offerings, options for accommodation, living expenses etc.



2.       Coordinates with relevant units within the university to identify
all the requirements for application and admission.



3.       Communicates and coordinates to all the units and departments
within the university the official list of accepted incoming inbound
exchange students every beginning of the semester.



4.       Reviews and consolidates all the application documents of incoming
inbound exchange students and maintains a database system for tracking and
monitoring.



5.     Facilitates the pre-arrival preparation for all incoming exchange
students including but not limited to issuance of Certification of
Eligibility to Study, acceptance letters, housing accommodation, airport
transfer, pre-arrival instructions and course preferences and advisement.



6.     Facilitates the preparation of collation of approved courses as well
as course advisement and execution of the registration for inbound exchange
students (online and manual enlistment) within the university in a
systematic and timely manner.



7.       Leads all the logistical preparation and execution of orientation
and registration week of inbound exchange students every semester.



8.       Monitors and tracks progress of inbound exchange students and
ensures that their needs are addressed appropriately and in a timely manner.



9.      Facilitates the exit orientation session for all inbound exchange
students every end of semester including but not limited to exit
requirements, student clearance form, etc.



10.  Facilitates the sending of transcript of records back to home
university after the semester and coordinates with the Registrar’s Office
in completing the necessary requirements.



11.   Tracks and manages budget for all inbound-related activities,
primarily through the preparation of necessary documents required for
accounting according to OIR and university guidelines.



12.    Manages information on inbound exchange students by collecting,
storing and tracking data according to OIR guidelines and policies.



13.    Assists the OIR Director and Operations Coordinator in developing
university opportunities for inbound exchange students.



14.    Performs other tasks as may be assigned by the Operations
Coordinator/OIR Director.


*Qualifications*

   - Bachelor’s Degree holder
   - Has 2 years of related work experience
   - Has good English communication skill (oral and written)
   - Proficient in MS Office applications
   - Can organize events
   - Attentive to details
   - With good customer relations skills
   - Knowledge of a foreign language is an advantage
