*Job Summary*

Under the direct supervision of the Section Head, the *Library Assistant II
(OS IV) *of the Acquisitions Section provides financial management support,
specifically, the processing of payments for acquired library materials and
managing the financial records.

*Job Responsibilities*

A.      Financial Management Support

A.1.      Payment Processing

a.1.1.        Reviews bills and other statements of account, and when
necessary, validates with the Acquisition Section Head

a.1.2.        Reviews existing collection and pending purchases to ensure
that materials requested for purchase is not doubled

a.1.3.        Prepares payments, ensuring that those are sent out and
received properly by the supplier

A.2.      Supplier Coordination

a.2.1.   Performs routine correspondence with suppliers

a.2.2.   Coordinates with suppliers for matters such as discounts,
payments, and delivery of purchased materials

A.3.      Client Support

a.3.1.   Attends to queries of academic departments regarding book budget
and status

a.3.2.   Determines replacement cost for lost books reported by Circulation

B.       Reporting and Document Management

B.1.      Drafts payment and statistical reports, and any other report
required by the Section Head

B.2.      Updates records and files needed by the Section

                                b.2.1.   Maintains records pertaining to
orders received and paid per academic department, and transits of check

                                b.2.2.   Maintains records of library
purchases and payments for acquired materials (e.g. books, serials, sound
recordings) on the database

                                b.2.3.   Maintains documents related to
acquired library materials (i.e. In-Process Files for foreign and local
publications, Standing Order File, Local and Foreign Invoices Files,
Delivery Receipts Files, and other related standard files)

                                b.2.4.   Maintains records/files by
Publishers/Book Agent

C.       Performs other tasks that may be assigned


·         Bachelor’s Degree, preferably Business-related course

·         Three (3) years of relevant work experience

·         Knowledge of library acquisition policies, procedures, and

·         Knowledge of bookkeeping principles and procedures

·         Knowledge of MS Excel

·         Skills in math and financial accounting

·         Skills in critical thinking and problem solving

·         Skills in communicating effectively

·         Skills in interpersonal relations

·         Attention to details

·         Quality and service orientation
