MEMO TO       :           The University Community




Here are some reminders for a smooth and orderly program during the Main
Awarding Ceremony of the 39th University Service Awards for the year 2016
on Thursday, 16 February 2017 from 3:00 p.m. to 5:00 p.m., to be held at
the High School Covered Courts (HS CC):

1.      *Awardees: *Please come in smart casual (or Sunday best) attire.
Since the program will start promptly at 3:00 p.m., awardees are requested
to be at the HS CC and seated by 2:30 p.m.  The seating arrangement will be
according to the sequence of the awards to be given onstage (by unit then
by length of service).

For easy identification by the ushers, please wear the stickers that were
sent to you through your unit representatives.  Awardees who arrive after
the Program has started, but before the Welcome Address is finished, will
be seated with their co-awardees only after the Welcome Address is given.

Awardees who arrive after the Welcome Address will not be allowed to go up
the stage.  Their names will still be read, but they can only claim their
awards backstage after the Program or at the Office of the Human Resource
Management and Organization Development (OHRMOD) at a later date.

2.      *Special Guests:  *There are reserved seats for:  the
spouse/special guest of this year’s special awardees (25 years to 65 years)
*,* retirees, current and former administrators, and other special guests.
Guests of Special Awardees were given Guest Cards that they will have to
present to the ushers who will guide them to their seats.

3.      *Souvenir Program:  *Copies of the souvenir program will be
distributed before the start of the program.

4.      *Souvenir Photos:*  Official photographers will take photos of the
awardees as they receive their awards onstage*.*  Each awardee will be
given a soft copy of the souvenir photo via email (those without ateneo
email, kindly provide our office with your personal email address).  No
other photographers will be allowed near the stage. *Photo booths will also
be available outside the covered courts (near the chapel) where awardees
can have their photos taken until 2:30 pm. Photo booths will be made
available again after the ceremony*.

5.      *Wishers/Greeters: **Wishers and greeters are requested to present
their gifts and bouquet offerings to their awardees at the end of the
program in deference to the solemnity of the awarding ceremony*.

6.      *Campus Traffic and Parking: *Our campus security personnel will be
around to manage traffic.  Parking spaces will be reserved in the High
School parking lot for the officials joining the stage party and for
special guests.

7.      *Reception:*  Light refreshments will be served immediately after
the program at the back of the HS CC.
