*OFFICE ASSISTANT III (OS III)*
Rizal Library, Loyola Schools


*Job Summary*
Under the direct supervision of the Administrative Assistant I, the Office
Assistant III assists visitors of the Director’s Office, manages the flow
and safekeeping of documents, tracks documentary requirements related to
employee attendance, and assists in preparing and recording payments.

*Job Responsibilities*
A. Client Assistance: Frontline Support

• Responds to queries from Rizal Library (RL) personnel regarding
HR/accounting matters
• Responds to stakeholder’s queries on availability and guidelines of RL
5th floor, and schedules its usage
• Attends to guests of the Office, and directs them to the proper person or
office concerned
• Receives and files mails, facsimile messages, office records, and other
confidential documents and forwards them to necessary personnel
• Notifies staff of invitations from other offices


B. Financial Management Support

• Attends to Official Receipt for School-Related Activities (ORSRA)
remittances from the different sections of theRizal Library
• Reviews bills and other statements of account before payment (e.g. rental
fees, utility bills, phone bills, etc)
• Drafts payments through Order for a Check, Petty Cash Vouchers, and when
necessary, requests for Budget Transfers
• Prepares and replenishes petty cash vouchers for reimbursement and
allowances (office expenses and student allowances)
• Keeps financial records and expense accounts of the Office


C. Reporting and Document Management

• Records outgoing mail, and routes to intended recipients(e.g. CAO, CPO,
Cashiering, etc.)
• Records and files pertinent data, information, and documents of the
Office and of the University properly and systematically, ensuring its safe
keeping and confidentiality
• Prepares data and drafts reports needed by the Administrative Assistant I
• Obtains necessary data and summarizes information gathered to guide the
Assistant Directors’ and/or Director’s decision


D. Attendance Tracking

• Records Rizal Library personnel on leave and/or on official business
• Assists in monitoring the attendance records, and reports tardiness of
employees, including student assistants


E. Performs other tasks that may be assigned


*Qualifications:*

• Bachelor’s Degree
• Two(2) years of relevant working experience
• Knowledge of Booking Principles
• Ability to operate Office Equipment
• Ability to use Office Productivity Software (e.g. Word Processing,
Spreadsheet, etc)
• Attention to details
• Quality and service orientation
