The MANILA OBSERVATORY, a Jesuit institution engaged in scientific  
research, invites applicants for the following position:

PROJECT ADMINISTRATIVE ASSISTANT

JOB DESCRIPTION:

The Project Administrative Assistant will report directly to the  
Associate Director for Research and has the following tasks and  
responsibilities:

1) General Administrative Support for Program/Projects

     a) Assist in office and administrative tasks and operations
        i)Provide the interface between project and research  
administrative needs
          and the Research Support and Accounting Services of the Manila
          Observatory.
       ii)Provide office support such as supplies and equipment requests,
          monitoring general expenses, and daily operation activities
      iii)Provide support on financial related tasks, including liquidation,
          reimbursements, monitoring program/project budget, and  
compiling annual
          budget.
       iv)Provide support on HR related tasks i.e. employee requisition form,
          TORs and contracts for signature
        v)Assist in logistics-related arrangements for meetings, including
          communication, documentation of meeting and organizing records, food
          and venue, etc
       vi)Provide support on travel related arrangements of research personnel
      vii)Assist in logistics-related arrangements and documentary  
support during
          seminars and workshops
     viii)Compose and review letters, e-mails, and other  
correspondence, internal
          and external
       ix)Assist in compiling information for the Manila Observatory Contacts
          Database (including stakeholders, agencies, and partners related to
          projects and institutions)
        x)Assist in compiling event/s details and information for the Manila
          Observatory Calendar

      b)	Assist in event preparations
         i)Provide adhoc and logistics support in institutional and project
           activities, including trainings and workshops
        ii)Develop write-up and other materials for event/s as needed
       iii)Proof-read/edit materials needed during the event/s

2) Review of research and project related materials

      a)Assist in developing research materials for project development and
        implementation
        i)Proof-read/edit materials and articles
       ii)Develop new materials and articles as necessary
      iii)Assist in integrating research materials from collaborators and
          partners
       iv)Provide significant inputs in contents

      b)Assist in developing research materials for outreach and exposure
        i)Proof-read/edit institutional materials
       ii)Develop new institutional materials if necessary
      iii)Assist in providing inputs in contents, look and feel of materials
       iv)Assist in providing strategies for public dissemination

3) Information and content management for projects and institutional reports

     a)Provide inputs on website contents, project, and institutional reports
     b)Assist in updating contents in website
     c)Assist in the development of new materials as needed
     d)Assist in featuring institutional events, projects, research  
output in the
       website and institutional reports
     e)Provide significant contribution in the preparation of institutional and
       project related technical reports
     f)Organize and maintain program/project files and databases - Compiling,
       analyzing, and integrating data and information relevant to the
       institution and to certain projects.  This includes maintaining  
all files,
       both hard and soft copies in an  \ organized filing system and directory

COMPETENCIES, SKILLS and QUALIFICATIONS:
?Bachelor's Degree
?One (1) to three (3) years of relevant office experience
?Excellent verbal and written communication skills both in English and  
Filipino
?Knowledge of general office procedures
?Administrative and office coordination skills
?Good organization and attention to detail
?Proficiency and comprehension for basic writing and editing including  
scientific technical material
?Record keeping and document organization skills
?Knowledge of basic accounting /bookkeeping
?Computer and Technical Skills (MS Word, Excel, Powerpoint, Google  
Docs, fax, photocopier, scanner, etc.)
?Ability to update basic website articles
?Has leadership potential, works well and collaboratively with others  
and within a team
?Ability to work with different partners in academe, government,  
private partners
