Office of University Development

*Job Summary*

Under the supervision of the Director of the Office of University
Development, the Donor and Fund Documentation Group Head supports the
initiatives and programs of the Office particularly in Donation Processing,
Donor Care and Donor and Fund Documentation.

*Job Responsibilities*

         I.            Donation Processing

·         Receives incoming donations and records these into the Donations
and Donors Management System

·         Advises beneficiary unit concerned about the new donation

·         Prepares draft letters of acknowledgement

·         Transmits letter with official receipt

·         Facilitates Certificate of Donation for all company donors and
individual donors when requested

·         Coordinates with the OVPFT regarding the Transaction Detail
report and incoming donations through local and foreign banks

        II.            Donor Care

·         Receives foreign donations coursed through the Philippine Jesuit
Foundation (PJF)

·         Assists in Special Projects undertaken by OUD such as:

o   JVO Annual Memorial Lecture on Public Service in Business and Gov’t

§  Assists in logistical preparation such as venues, invitations to
lecturers and attendees, stage set up and refreshments

§  Prepares tokens for the stage party

§  Prepares OC for the lecturer’s honoraria

o   JVO Scholarship Program

§  Secures the final tuition and fees, miscellaneous and books

§  Prepares yearly budget to be submitted to VPFT

§  Schedules the remittance of funds to the school units

§  Coordinates with and submits budget to the VPFT

§  Prepares Order for Check

§  Coordinates with and facilitates the release of the scholarship fundsto
the office/unit concerned

§  Secures from the school units the official receipts

§  Prepares the year-end report

·         Prepares the donors list for the Christmas gift list

      III.            Office Support

·         Assists individual and fundraising groups

·         Prepares collaterals and materials needed for programs or events

·         Prepares OUD annual budget request and requirements

     IV.            Records and Documentation

·         Prepares the summary of donation reports

·         Facilitates the preparation of the turnover reports and issuance
of official receipt

·         Provides the Office of the President information upon request

o   Fund accounts available and amount per fund account available for
Professional Chair awards and Performance Excellence awards

o   Updated records on donor contact information

o   Donor background and history of donations

o   Top donors to the University for a given period

o   Other information as may be required

       V.            Performs other related tasks that may be assigned
including but not limited to the management of the Donor and Donation
Management System as well as the University Donation Portal.


·         Bachelor’s Degree holder, preferably in MIS, Management or
IT-related course

·         With 2-3 years of relevant work experience (records and database
management experience)

·         Has communication and people skills

·         Proficient in MS Office application

·         With working knowledge in preparation of letters, memos and
