Ethics Center and Graduate School of Business


The Office Assistant V provides administrative, secretarial and clerical
support to the Executive Director of the Ethics Center and the AGSB Dean’s

*Job Description:*

*A. Administrative and Logistical Support *

1.    Assists in managing the daily transactions of the Ethics Center

2.    Serves as the assistant to the Director of the Ethics Center

3.    Prepares and submits Annual Report to the Donor and Summary of
Operations of the Ethics Center

4.    Manages the Ethics Center’s filing system and ensures easy retrieval
of documents

5.    Monitors and updates the Ethics Center’s list of books and office

6.    Assists in designing tarpaulins, posters and collaterals for the
Ethic Center’s activities

7.    Drafts letters and memos and routes correspondence to different
offices or departments

8.    Coordinates and organizes unit presentations and/or meetings,
including logistic requirements for the activities e.g. venue, meals,
equipment, tokens, etc .

9.    Drafts contracts for Independent Contractors

10.  Supports the Department Chair on matters pertaining to trimestral
class and examination schedule, enrollment figures, budget, equipment,
faculty teaching loads, etc.

11.  Coordinates with the Department Secretaries and Program point-persons
to ensure that the 201 files of faculty are complete and updated

*B.   **Budget and Finance*

1.    Records and monitors the Ethic Center’s budget and expenditures

2.    Reviews the Ethics Center’s ledger(s) to ensure correctness of
accounting transactions and reports discrepancies, if any

3.    Prepares order for check, liquidation reports, reimbursement and cash
advance requests, etc.

4.    Assists the Dean’s Office in collating materials for submission
during budget season

*C. Others*

1.    Screens requests from students and all other visitors to the
Department and/or Dean’s Office

2.    Liaises with other offices of ADMU

3.    Provides assistance on AGSB-organized events e.g. fora, anniversary,
activation activities for MBA programs, etc.

4.    Assists in Placement activities by:

·         Creating and updating database of employers

·         Conducting follow up on response of employers to invites on
career posting on the AGSB website

·         Monitoring and ensuring that inquiries from students, alumni and
potential employers regarding placement are properly responded to

·         Keeping track of career postings and application deadlines

5.    Provides secretarial assistance by answering/making phone calls and
sending/receiving fax messages and distributing incoming/outgoing mails to

6.    Performs all other tasks assigned by the Executive Director of the
Ethics Center and/or Dean of the AGSB


·         Bachelor’s Degree

·         Minimum of  two (2) years work experience

·         Self-starter

·         High level of organizational skills and initiative

·         Ability to relate well with different levels of people in the

·         Good communication skills (oral and written)

·         Ability to work with minimum supervision
