Management and Legal Management Programs (MLM), Office of the Dean

John Gokongwei School of Management, Loyola Schools


Under the direct supervision of the Management and Legal Management (MLM)
Program Director, the Office Assistant II position assists the Program
Director in maintaining efficient office operations. This position also
provides basic secretarial support and other basic services related to the

*Job Description:                *

1.       Administrative and Logistical Support

·         Provides timely administrative and logistical support to the MLM
Program Director and faculties, within and outside the campus

·         Prepares the Program Director's schedule of activities, talks,
seminars, meetings and appointments

·         Assists the Program Director prepare for the Departmental awardees
 (listing of top Senior students and conducting voting process by Senior

o   Administers and tallying the surveys

o   Collects the CV's essays and other requirements of candidates

·         Receives and transmits documents / letters, papers, and projects
for the MLM Program Director and faculty

·         Maintains students' files

·         Arranges logistics for the Program Talks and other student
program activities

2.       Office Support

·         Monitors the budget of the MLM Programs

·         Monitors the proper utilization of the office supplies

3.       Communication Assistance

·         Serves as a communication link between the Program Directors,
students, faculty, and parents

·         Responds to inquiries from stakeholders, students, visitors,
faculty, administrators through various communication channels.

·         Updates MLM Program bulletin boards

·         Routes correspondences, documents and other matters to different
university offices, as may be needed

4.       Coordination Support

·         Coordinates with the Registrar's Office concerning MLM student
grades and subjects

·         Coordinates with the Office of the Associate Dean for Academic
Affairs with regard to the Individual Program of Study (IPS), validation of
the subjects, and requirements needed for the Leave of Absences (LOA),
double majoring of the students, and acceptance of transferees

·         Assists the Program Directors in the Student Advisement Process
including shiftings

5.       Student Records Tracker

·         Monitors students grades in their respective individual programs
of studies

·         Maintains and regularly updates programs' student database
including encoding student grades

·         Monitors probationary status of the students in Management and
Legal Management programs at the end of the Sophomore year and at the end
of the Junior year

·         Maintains and updates the records of Management and Legal
Management students regarding their minor and double major programs

6.       Departmental Support

·         Maintains the Project Information Cataloguing Systems (PICS)
database for the four departments in the John Gokongwei School of
Management (JGSOM)

·         Monitors and catalogues the books at the JGSOM Library

·         Provides assistance to the Department Secretaries as needed

o   Assists the Finance and Accounting Department Secretary in collating
the Departmental exams of ACC10, 20, 101 and FIN 105 for the First semester and
the ACC 30, 35 and FIN 103 for the Second Semester (4 Departmental exams
every semester)

o   Assists the Departments in presentations, talks and activities as needed

o   Provides logistical support for the Minor Programs talks and make-up
classes for other JGSOM departments, as needed.

7.       School Support

·         Provides support in the preparation of materials for the JGSOM
Open House, Testimonial Dinner and major activities such as workshops,
conferences, hosted by JGSOM

·         Assists the JGSOM Office of the Dean, in designing tarpaulins for
the students competitions

·         Provides clerical and logistical support for various Center
activities, with the permission of the Program Directors

·         Assists in coordinating with faculty members and staff in JGSOM
related activities


·         Bachelor's degree

·         Has 2-3 years of work experience

·         Proficient in Microsoft Office applications

·         Excellent oral and written Communication skills

·         Has records and time management skills

·         Team player and has exhibits good interpersonal skills
