Office of the Vice President for Professional Schools

*Job Summary:*

Under the general guidance of the Assistant to the Vice President of the
Professional Schools and the direct and close supervision of the Head of
Facilities and Physical Resources, the Office Assistant III assists in the
reservation of rooms/facilities in the Ateneo Professional Schools-Rockwell
campus, and coordinates activities with the Central Facilities Management
Office team assigned in Rockwell.

*Job Responsibilities:*

*1.   *
*Serves as Coordinator  for Facilities and Physical Resources Management
Services *

·         Receives facilities reservation inquiries/requests from Ateneo
and non-Ateneo clients, coordinates these requests with appropriate school
units/offices prior to final approval, and processes the corresponding

·         Disseminates and coordinates approved activities/events with
security guards, housekeeping aides and maintenance staff upon the approval
of the Head of Facilities and Physical Resources,

·         Receives and records *Maintenance Request Forms* and assists the
Head of Facilities and Physical Resources in monitoring the response
progress for these requests.

·         Receives, distributes (for approval and budget allocation),
processes (via preparation of Orders for Check), and tracks payments to
service providers on behalf of the various APS school units/offices.

·         Receives complaints concerning the various APS services and
facilities, such as requests for immediate service support and coordinates
these with the Head of Facilities and Physical Resources for appropriate

·         Assists the Head of Facilities and Physical Resources in
coordinating with the various service providers such as MERALCO, Manila
Water, telecommunications companies, and also with Rockwell Estate
concerning service delivery and communicates any updates or service
interruptions to the APS Community.

·         Assists the Head of Facilities and Physical Resources with the
procurement of maintenance requirements for materials and services for
APS-Rockwell and Salcedo campuses.

*2.   **Provides Administrative & Logistical Support*

·         Monitors daily the APS-Rockwell PABX trunk lines and requests
TRICOM, PLDT, and/or GlobeTel for immediate support should there be any
service concerns or interruptions.

·         Handles requests from the various APS school units/offices for
telephone installation, transfer, disconnection and repairs and keeps an
updated record of these requests.

·         Updates the APS telephone directory, as needed, upon coordination
with the various APS-Rockwell school units and offices.

·         Assists the Head of Facilities and Physical Resources in the
daily tracking and regular updating of the keys inventory to the various
offices in APS-Rockwell.

·         Assists the Head of Facilities and Physical Resources in the
preparation of quarterly utilities reports.

·         Encodes data and issues APS Rockwell car pass stickers, upon
approval of the Head of Facilities and Physical Resources.

·         Ensures synchronization of all APS clocks with the Manila
Observatory official time.

·         Updates lost and found records and issues found item/s to
owner/s, in coordination with other designated Lost & Found.

·         Drafts communication for the Head of Facilities and Physical
Resources on matters concerning facilities and utilities.

·         Assists in the general clerical workload of the office.

·         Acts as receptionist of the OVPPS and takes messages when called
parties are not available

*3.   **May perform all other tasks as may be assigned by the immediate


·         Bachelors Degree, preferably with Accounting and/or Management

·         With 2-3 years of relevant work experience

·         Has excellent interpersonal and customer service skills

·         Has a good command of the English language (oral & written)

·         Has above average documentation and recording skills

·         Has the ability to multi-task effectively and has a keen eye for

·         Proficient in MS Office applications
